Who we are
Switchboard ("we", "us", "our") is a Wellington-based agency providing custom websites and AI receptionist services to New Zealand small businesses. Our website is www.switchboard.net.nz. You can contact us at hello@switchboard.net.nz.
What information we collect
Information you give us directly
- Enquiry forms: name, business name, email address, phone number, and any details you include in your message
- Onboarding wizard: business name, industry, operating hours, service descriptions, and call handling preferences — used to configure your AI Receptionist
- Account settings: updates to your business profile, AI configuration, and billing information
Information collected automatically
- Analytics: pages visited, time on site, referral source, device type, and browser — collected via Google Analytics (anonymised IP)
- Call data: for AI Receptionist clients, we log call timestamps, durations, caller numbers, call summaries, and transcripts
How we use your information
- To respond to your enquiry and provide the services you've requested
- To configure and operate your AI Receptionist
- To send you call summaries and account notifications
- To improve our services and website
- To meet our legal obligations
We do not sell your personal information to third parties. We do not use it for advertising.
Third-party services we use
To deliver our services, we share data with the following providers. Each has their own privacy policy.

How long we keep your information
- Enquiry data: 2 years from last contact
- Call recordings: 30 days, then automatically deleted
- Call transcripts and summaries: 12 months, or until you request deletion
- Account data: for the duration of your account, plus 1 year after closure
- Financial records: 7 years (required by NZ law)
Your rights under the NZ Privacy Act 2020
You have the right to:
- Access the personal information we hold about you
- Correct any information that is inaccurate or out of date
- Delete your information (subject to our legal obligations)
- Complain to the Office of the Privacy Commissioner if you believe we have breached the Privacy Act

Cookies
We use cookies for Google Analytics (anonymised) and to remember your preferences on the site. No tracking cookies are used for advertising. You can disable cookies in your browser settings — the site will still work without them.
Security
We use HTTPS on all pages. Call data is encrypted in transit. We do not store payment card details — all card processing is handled by Stripe. We use access controls to limit who can access customer data within our team.
Changes to this policy
We may update this policy from time to time. We'll update the "last updated" date at the top, and if changes are material, we'll notify active clients by email.
